Contract, terms and travel requirements for group guests with Mariage Sud / Voyage Fiesta

This document presents the terms and conditions of the tour operators and the Agence Mariage Sud. This is for all guests wishing to book on one of our wedding groups. Please read clauses 1 to 14 carefully. If you have any questions, do not hesitate to call us at 514-554-2820.

 

1. Cancellation

1.1 In case of cancellation 61 days or more before departure: 100% non-refundable deposit applicable and non-transferable to any person in the group. In case of late payment, the agency will have to cancel the passenger in default of payment, with loss of deposit and without notice. Depending on the occupancy of the room, the remaining passengers will have to pay the difference applicable at the time of cancellation. Only a change of name is possible with fees. See clause 2.

1.2 In case of cancellation 60 days or less before departure: 100% of the total price per person, including taxes, fees and surcharges. Depending on the occupancy of the room, the remaining passengers will have to pay the difference applicable at the time of cancellation.

1.3 In the event that the bride and groom must cancel their trip for personal reasons, no refund will be applied by our suppliers. Guests will still be able to travel on the dates booked, therefore no refunds will be authorized by our suppliers. Please check with your insurance companies. If the group is less than 10 passengers, they will be charged the daily rate. No deposit is refundable.

1.4 No refunds made for Zika Virus. See clause 4.

 

2. Name Change (All other carriers except Sunwing)

2.1. Name changes are permitted up to 45 days prior to departure for a fee, unless the hotel is under a stop sale, in which case no name changes will be permitted. See table in clause 14.

2.2 Name changes are permitted for a fee of $100 per change if the change is made 44 to 21 days prior to departure, unless the hotel is in a stop sale, in which case no change will be permitted.

2.3 Name changes are permitted for a fee of $150 per change if the change is made between 20 and 8 days prior to departure, unless the hotel is under a stop sale, in which case no changes are permitted.

2.4 Name changes within 7 days of departure will be considered and treated as cancellations and will result in a cancellation fee of 100% of the price.

2.5 Only one name change is possible for a double occupancy room. No name change is possible for a single occupancy room. In all cases, the agency must check with the tour operator to ensure that the name change is accepted by the hotel.

2.6 For a name change to be possible, the replacement must be an outsider and not a person already in the group.

2.7 In the event that an “Early Bird” discount is applied to a group rate, you will be charged the amount of the discount if a name change is made to the group file. (Name change applicable according to the Early Bird deadline)

2.1.1 Name change with Sunwing

2.1.2. Name changes are permitted 45 days or more prior to departure, unless the hotel is under a stop sale, a fee of $100 per name change applies.

2.1.3 Name changes are permitted for a fee of $150 per change if the change is made between 44 and 21 days prior to departure, unless the hotel is under a stop sale, in which case no change is permitted.

2.1.4 No name changes are permitted 20 days or less prior to departure. 100% of the fees apply and is 100% non-refundable.

2.1.5 In the event that an “Early Bird” discount is applied to a group fare, you will be charged the amount of the discount if a name change is made to the group file. (Name change applicable according to the Early Bird deadline)

 

3. Non-guaranteed requests

All room requests are non-guaranteed and are subject to the availability of the hotel. They will be made by your agent, but will be confirmed only upon return to the hotel. We are not responsible for any unfulfilled requests.

 

 4. Zika Virus

4.1 The Zika Virus is currently widespread throughout the Caribbean and the United States. If you are pregnant or think you may be pregnant during the trip, please note that tour operators do not refund in any case. It is the customer’s responsibility to know the terms and conditions of this virus.

4.2 It is the customer’s responsibility to check with her cancellation insurance to see if she can be covered or reimbursed for this type of virus. For complete travel precautions, consult the Public Health Agency of Canada website or a physician. If your travel itinerary includes several destinations, please consult the Pan American Health Organization (PAHO) website to take the necessary precautions.

4.3 The insurance offered by Mariage-Sud (Blue Cross or Manulife) does not cover the Zika virus as a valid cause for a refund of a deposit or total.

4.4 There could also be risks for newborns or very young children (studies in progress)

 

5. Insurance

5.1 Emergency medical insurance or cancellation/luggage insurance is not included in the price of your trip. You must check with your credit card or agent to obtain one.

5.2 In any case, if you do not take insurance with us, you are required to check the waiver of insurance refusal on the website even if you have prior insurance with another company or credit card.

5.3 Emergency medical insurance at your destination is mandatory and covers you in case of emergency. Refusing insurance can be very costly. Medical insurance covers: The urgent need for medication at your destination, medical or nursing expenses, fees for the use of an ambulance or helicopter and more. Be careful.

5.4 By signing the insurance refusal, you agree to inquire about your insurance coverage on your side, as we cannot be held responsible for lost luggage, 100% non-refundable cancellation and medical claims at destination.

5.5 Emergency medical insurance can be purchased by the customer 48 hours prior to departure.

5.6 Cancellation/Interruption Insurance must be purchased within 72 hours of the first payment (deposit or total). It is the client’s responsibility to notify us if this is the case.

 

6. Flight schedule

Flight schedules are subject to change at any time by the tour operator up to 24 hours before departure. A direct flight may therefore become a flight with stopover(s). It is the passenger’s responsibility to confirm their flight 24 to 48 hours before departure with each carrier. At any time the carrier may operate their flight with another airline. Please refer to the website of your departure airport.

 

7. Travel Documents (Passports, Visas and other)

7.1 It is the customer’s responsibility to ensure that the names on their passport are the same as those given to the Agent. The fee for a name adjustment/correction is $20 and applies at all times and for each change.

7.2 In the case of an expired passport, the client will have to call back to give us the correct information. If you do not have your passport yet, it will be important to call us back quickly to give us the exact names appearing on your passport.

7.3 In the event of a name error on your travel documents, it is important to check your travel documents upon receipt to ensure the validity of the names listed. A fee of $20 will be charged for name adjustments at all times

7.4 For guests not residing in Canada, it is your responsibility to inquire with your institutions, if another visa than the one offered to the Canadian on board is required to enter the destination.

7.5 For guests with a criminal record, it is your responsibility to check with the authorities or embassy of the destination of your trip, to ensure that the destination chosen by the bride and groom is consistent with your record.

7.6 For all guests not travelling on a Canadian passport, it is your responsibility to check with your respective Embassy or Consulate to ensure that you can travel to the destination chosen by the bride and groom.

 

7.7 COVID:

7.7.1 It is your responsibility to check with the official Canadian website https://voyage.gc.ca/ prior to your departure to your destination and your return to Canada. The information, PCR or Antigen test, necessary documentation, entry requirements of your destination and exit requirements to return to Canada may change at any time.

7.7.2 Covid Voyage Vaccination: It is your responsibility to ensure that your vaccination status is up to date as required by the Government of Canada. Visit travel.gc.ca, section https://voyage.gc.ca/voyage-covid/voyage-restrictions/voyager-interieur to obtain the official information from the Canadian authorities regarding the COVID 19 vaccination. Mariage-Sud Travel Agency cannot be held responsible for any changes in information and requirements made by the authorities in place (Canada and country of your trip). Information and requirements are subject to change at any time. It is your responsibility to ensure that you are insured even after you have purchased your trip, as the information may have changed since the initial purchase and even during your stay. The information regarding the pandemic is public since March 2020. It is mandatory to have received 2 doses of vaccines recognized and approved by Health Canada to fly from Canada. The second dose must be given at least 14 days prior to the traveler’s departure, otherwise the traveler will be denied boarding. The airline and travel agency cannot be held responsible for the vaccination status of travellers. Visit travel.gc.ca for up-to-date information.

 

8. Airport taxes

8.1 If you are travelling with Sunwing to the Dominican Republic, an exit tax of $20.00 USD in cash will be required upon departure.

8.2 If you are traveling to Mexico, (Riviera Maya) a Mexican environmental tax of 20 pesos per day per room will be charged upon departure. (The equivalent of 7$ American for the week)

 

9. Room Upgrade

It is possible to obtain a room upgrade. Please note that we must go through the group department of our tour operator to provide you with the rate. The room category on the contract is always the category chosen by the bride and groom. The rate is therefore protected and cannot be increased. Unless you request a room upgrade that is not already on the contract. Please ask your agent. Subject to availability only.

 

10. Child

This contract binds you to your children. They are eligible for clauses 1 through 14. For information regarding children’s baggage, please ask your agent. A child of 2 years old and less does not have a seat and is seated on his parents’ lap. A $20 fee will be charged by the tour operator for your child under 2 years old.

11. Seat selection

11.1 Group seat selection may be offered free of charge if the group is part of the tour operator’s current promotion. This is a block of standard seats on the wings and there is no possibility to choose your seats in advance. It is a random selection with no possibility of change. This selection will be made 3 to 4 weeks before your departure. Please ask the agent in charge of guests for more information.

11.2 It is possible to select seats on board the tour operators’ aircraft in advance. Please be aware that there is a fee for seat selection. Please check with your agent to find out the different fees charged by the tour operators.

11.3 Online pre-registration 24 hours in advance to select seats free of charge is not valid for group travel.

 

12. Payment method and date of payment

12.1 In case of late payment, the agency will have to cancel the passenger in default of payment, with loss of deposit. Depending on the occupancy of the room, the remaining passengers will have to pay the difference applicable at the time of cancellation. Please note that a fee will be charged for any passenger who does not meet the deadline for final payment set by the Agency. See grid in clause 14.

12.2 For cash payments, we ask to receive the money at our offices, 7 working days before the payment date. Otherwise, a credit card or prepaid card will be required.

12.3 Interac transfers are no longer accepted. For payments by bank transfer, we ask that the money be received at our offices, 7 working days before the date of payment. Otherwise, a credit card will be required. Please contact us for the bank information of the agency.

By checking the YES box on the GUEST FORM, I / we have read the form 001-554. I / we agree to the conditions stated above.
