Contract for guests of a wedding group

This document presents the terms and conditions of the tour operators and the South Marriage Agency. This is for all guests wishing to book on one of our Wedding Groups. Please read clauses 1 to 14 carefully. If you have any questions, do not hesitate to call us at 514-554-2820.

  • 1: Cancellation

1.1 In case of cancellation 61 days or more before departure: Applicable deposit 100% non-refundable and non-transferable to a person in the group. In the event of late payment, the agency must cancel the passenger for non-payment, with loss of deposit and without notice. Depending on the occupancy of the room, the remaining passengers will have to pay the difference applicable at the time of cancellation. Only a name change is possible with fees. See clause 2.

1.2 In the event of cancellation 60 days or less before departure: 100% of the total price per person, including taxes, fees and surcharges. Depending on the occupancy of the room, the remaining passengers will have to pay the difference applicable at the time of cancellation.

1.3 If, in the event that the bride and groom have to cancel their trip for personal reasons, no refund will be applied from our suppliers. Guests will still be able to travel within the booked dates, so no refunds will be authorized by our suppliers. Please check with your insurance companies for more information. If the group is no longer 10 passengers, they will be charged the daily fare. No deposit is refundable.

1.4 No refund made for the Zika Virus. See clause 4.

 

  • 2: Name change (All other tour operators except Sunwing)

2.1. Name changes are permitted up to 45 days before departure for a fee, unless the hotel is subject to a stop sale moratorium, from which no name changes will be permitted. See the table in clause 14.

2.2 Name changes are permitted for a fee of $100 per change if the change is made 44 to 21 days before departure, unless the hotel is subject to a stop sale moratorium, at which no change is permitted.

2.3 Name changes are permitted for a fee of $150 per change if the change is made 20 to 8 days before departure, unless the hotel is subject to a stop sale moratorium, in which case no change is permitted.

2.4 Name changes within 7 days of departure will be considered and treated as cancellations and will incur a cancellation fee equivalent to 100% of the price.

2.5 Only one name change is possible for a room in double occupancy. No name change is possible for a single occupancy room. In all cases, the agency will have to ask the tour operator to ensure that the name change is accepted by the hotelier.

2.6 For a name change to be possible, the replacement must be an outside person and not a person already in the group.

2.7 In the event that an “Early Bird” discount is applied to a group rate, you will be charged the amount of the discount if a name change is made to the group file. (Name change applicable according to the Early Booking deadline).

 

  • 2.1.1.1 Name change with Sunwing

2.1.2. Name changes are permitted 45 days or more before departure, unless the hotel is subject to a sales moratorium (stop sale), a fee of $100 per name change applies.

2.1.3 Name changes are permitted for a fee of $150 per change if the change is made 44 to 21 days before departure, unless the hotel is subject to a sales moratorium (stop sale), in which case no changes are permitted.

2.1.4 No change of name is permitted 20 days or less before departure. 100% of the fees apply and is 100% non-refundable.

2.1.1.5 In the event that an “Early Booking” discount is applied to a group rate, the amount of the discount will be charged if a name change is made to the group file. (Change of name applicable according to the Early Booking deadline)

 

  • 3: Unsecured requests

All requests for rooms are unsecured requests and are subject to the availability of the hotelier. They will be made by your agent, but will only be confirmed at the hotel. We are in no way responsible for any requests not obtained.

 

  • 4: Zika Virus

4.1 The Zika Virus is currently widespread throughout the Caribbean and the United States. If you are pregnant or think you may be pregnant during the trip, please note that tour operators do not refund under any circumstances. It is the client’s responsibility to know the terms and conditions of this virus.

4.2 It is the client’s responsibility to check with her cancellation insurance to see if she can be covered or reimbursed for this type of virus. To find out all the precautions to take as part of your trip, visit the Public Health Agency of Canada website or consult a doctor. If your travel itinerary includes multiple destinations, please consult the Pan American Health Organization (PAHO) website to take the necessary precautions.

4.3 The insurance offered by South Marriage (Blue Cross or Manulife) does not cover Zika virus as a valid cause for a refund of a deposit or total.

4.4 There may also be risks for newborns or for very young children. (Ongoing studies)

 

  • 5: Insurance

5.1 Emergency medical insurance or cancellation/baggage insurance is not included with your trip price. You must check with your credit card or agent to obtain one.

5.2 In any case, if you do not take out insurance with us, you are required to tick the exemption from denial of insurance on the website even if you have prior insurance with another company or credit card.

5.3 Emergency medical insurance at destination is mandatory and covers you in case of an emergency. Refusing insurance can be very expensive. A medical insurance covers: The urgent need for medication at destination, medical or nursing expenses, ambulance or helicopter costs and more. Exercise caution.

5.4 By signing the insurance decline, you agree to inform yourself about your insurance coverage, as in no event will we be liable for the loss of your luggage, a 100% non-refundable cancellation and a medical claim at destination.

5.5 Emergency medical insurance can be purchased by the customer 48 hours before departure.

5.6 Cancellation/interruption insurance must be purchased for a maximum of 72 hours at the time of the first payment (Deposit or total). It is the customer’s responsibility to notify us if this is the case.

 

  • 6: Flight schedule

The flight schedules are subject to change at any time by the tour operator up to 24 hours before departure. A direct flight can therefore become a flight with stopover(s). It is the passenger’s responsibility to confirm their flight 24 to 48 hours before departure with each carrier. At any time the carrier may operate his flight with another airline. Please refer to the website of your airport of departure.

 

  • 7: Travel documents (Passports, Visas and others)

7.1 It is the client’s responsibility to ensure that the names on their passport are identical to those provided to the Agent. A fee for a name adjustment and/or correction is $20 and applies at all times and with each change. Also, there could also be costs for suppliers.

7.2 In the event of an expired passport, the client will have to call back to give us the right information. If you do not yet have your passport, it will be important to call us back promptly to give us the exact names on your passport.

7.3 In the event of a name error on your travel documents, it is important to check your travel documents when you receive them to ensure that the names entered are valid. The fee for a name correction is $20 and applies at all times. Depending on the case, additional costs may arise from suppliers.

7.4 For guests who do not reside in Canada, it is your responsibility to check with your institutions if a visa other than the one offered to Canadians on board is required to enter your destination.

7.5 For guests with a criminal record, it is your responsibility to check with the person in charge of your file, to ensure that the destination chosen by the bride and groom is in accordance with your file.

7.6 For all guests not travelling on a Canadian passport, it is your responsibility to check with your respective Embassy or Consulate to see if you can travel to the destination chosen by the grooms.

 

  • 8: Airport taxes

8.1 If you travel with Sunwing to the Dominican Republic, a $20 USD cash exit tax will be charged upon departure.8.2 If you travel to Mexico, (Riviera Maya) a Mexican environmental tax of 20 pesos per day per room will be charged upon departure. (The equivalent of 7$ American for the week)

 

  • 9: Room Upgrade

It is possible to obtain a room upgrade. Please note that we must go through our tour operator’s group department to provide you with the rate. The room category on the contract is always the category chosen by the bride and groom. The tariff is therefore protected and cannot be increased. Unless you request a room upgrade that is not already on the contract. Ask your agent for it. Subject to availability only.

 

  • 10: Child

This contract binds you to your children. They are eligible under clauses 1 to 14. For any information regarding children’s luggage, check with your agent. A child 2 years of age or younger has no seat and sits on the lap of his or her parents. A $20 fee will be charged by the tour operator for your child 2 years of age or younger. you travel with Air Transat, register your child 2 years of age or older at the Transat Kids Club: http://www.airtransat.com/fr/club_enfants/index.html

 

  • 11: Seat selection

11.1 The group seat selection can be offered free of charge if the group is part of the tour operator’s current promotion. It is a block of standard seats on the wings and no possibility to choose your seats in advance. This is a random selection with no possible changes. This selection will be made 3 to 4 weeks before your departure. Ask the agent in charge of guests.

11.2 It is possible to choose your seats on board the tour operators’ aircraft in advance. Please note that there are fees for seat selection. Ask your agent about the various tour operator fees.

11.3 Online pre-registration 24 hours before to select seats free of charge is not valid in groups.

 

  • 12: Payment method and payment date

12.1 In the event of late payment, the agency must cancel the passenger in default of payment, with loss of deposit. Depending on the occupancy of the room, the other occupants will have to pay the difference applicable at the time of cancellation. Please note that a charge will be applied for any passengers who do not meet the final payment deadline set by the Agency. See Grid in clause 14.

12.2 For cash payments, we ask to receive the money at our offices 7 business days before the payment deadline. Otherwise, a credit card or prepaid card will be required.

12.3 Interac transfers are no longer accepted. For payments by bank transfer, we ask to receive the money to the agency’s trust account 7 business days before the payment deadline. Otherwise, a credit card will be required. Please contact us for the agency’s banking information.

12.4 For monthly payments, please check with your agent. You will need to complete an authorization form for this type of payment.

12.5 In the case of a change in payment method, a fee will apply if the payment method is not the same as at the time of filing. See Grid in clause 14.

12.6 You may agree with us to pay for the trip (some restrictions apply). It is important to call us before the dates on the contract to let us know. Otherwise, the Agency reserves the right to cancel your participation in the trip if we do not have your payment agreement signed on or before the date of final payment. A $20 fee will apply for failing to meet the final payment date. See Table in clause 14.

 

  • 13: Price reduction

13.1 A price reduction is offered by the wholesaler under certain conditions. According to the inventory of rooms and the number of seats available at the time of the decrease.

13.2 Upon request, we will make a single price adjustment for your group, no later than 60 days before departure, to the same supplier, room category and hotel as booked.

13.3 The price reduction is not per room. It is decided by the bride and groom of the wedding group. So they connect you to their decision. If you do not agree, please notify the bride and groom.

13.4 A price reduction is not applicable on the group’s promotional rooms (Deal of the day, Supersaver and others). Or on any extra rooms added after the seats have been released.

14: Change fees charts 

 

  • Change of departure date or hotel date =  $20 + wholesaler fees
  • Change of room occupancy at the hotel = $20 + wholesaler fees

  • Fees for exceeding the final payment date = $20 + wholesaler fees.
